REGISTRATION TERMS and conditions

Please read these terms and conditions carefully and ensure you understand them before you register for an event. By registering your details and completing payment for an event, you agree to be bound by these terms and conditions.
1. Event Terms
(i) Each participant is responsible for reading and understanding all event terms set out on our website, including FAQs, before registering. Each participant must comply with these terms at all times during an event, including when on course and at the event venue(s).
(ii) A participant may be prevented from taking part in an event if they do not comply with these terms.
2. Registration
(i) Each participant must complete their registration, including full payment of the entry fee (where applicable), using the online registration platform to be eligible for their event. This includes acknowledgement they have read, understood and agree to be bound by these terms and conditions.
(ii) Incomplete registrations and payments do not allow a person to be eligible for participation in an event.
(iii) Registration into an event is not accepted on the day of the event.
(iv) Where applicable, each participant must attend event registration in person to produce their photo ID before they will receive their race bib. A participant who fails to do so will be withdrawn from the event, with no refund of their entry fee.
(v) It is the responsibility of each participant to ensure their contact details, medical details and emergency contact details remain up-to-date at all times.
(vi) A participant must be at least 20 years old on the first day of the event to enter and participate.
3. Modification or cancellation of the event
(i) We reserve the right to modify the event format, including but not limited to: routes, timings (including event dates, start times and cut-off times), locations, venues and participant services.
(ii) In exceptional circumstances such as a force majeure event, we reserve the right to temporarily stop an event in progress, or cancel the event. If this were to occur, we will inform participants of the modification or cancellation by e-mail or alternative methods.
(iii) A force majeure event includes any act, condition or event beyond our reasonable control which makes the hosting of the event impractical, unsafe or incapable to be delivered. This may include (without limitation): strikes, industrial action, threats or acts of terrorism or war, civil disorder, riots, public disaster, fire, explosion, power failure, essential services failure, technical failure, loss of public or private communications, national mourning, government or public authority orders, earthquakes, storms, floods, adverse weather, natural disaster, epidemic, pandemic, intervention by Police or Fire Service.
(iv) We will not be liable or responsible for failure to perform our obligations caused by acts, conditions or events beyond our reasonable control. We will not be liable for any costs incurred by a participant, including travel, accommodation, or expenses if an event is modified or cancelled.
(v) Entry fees are non-refundable should an event be cancelled due to exceptional circumstances as costs will have already been incurred in the organisation of the event.
(vi) In exceptional circumstances where an event has to be cancelled, and we are not able to modify the event format, a participant may have their registration deferred to the next scheduled edition of the event at no extra cost to the participant. Information on the deferral opportunity will be e-mailed to all participants should an event be cancelled. The participant must contact us within the publicised time period to request this deferral. If we have not heard from a participant by the deadline given, we will be entitled to assume their registration has expired.
4. Refunds, transfers, and deferrals
(i) Entry fees are non-refundable should a participant no longer be able to attend the event.
(ii) A registration may be transferable to another person up to 4 weeks prior to the first day of the event, subject to a £20 fee. Please e-mail us at team@undergroundrunclub.co.uk before this deadline to arrange.
(iii) Deferrals are not available under any circumstances.
5. Participant obligations
(i) Each participant must understand and accept that prolonged physical exertion is a potentially hazardous activity, and that the event will involve walking or running over varied ground and terrain, throughout both daytime and nighttime, including in potentially challenging weather conditions.
(ii) By registering for the event, each participant is aware of the physical and mental challenges and the risks associated with taking part, which may result in serious injury, impairment or death.
(iii) By registering for the event each participant acknowledges and declares they are physically fit, in good health and will undertake adequate training prior to the event. It is the responsibility of the participant to declare on the registration form any medical conditions, injuries or allergies which may prevent their safe participation, and to have these written on their race bib (where applicable) prior to participating in the event. If in any doubt each participant must consult their doctor before completing the registration form. Should their medical condition significantly change, or deteriorate, prior to the event, each participant must consult their doctor, and contact the event organiser directly via email if they have any doubts about their suitability to participate in the event. We reserve the right to refuse or suspend entry if we deem that a person’s participation could endanger their wellbeing.
(iv) It is the responsibility of each participant to ensure they have the necessary capability, skills and experience to undertake the event and take care for their own safety without endangering themselves or others. It is the responsibility of the participant to be as alert as possible at all times during the event, for the identification of potential hazards, and to do nothing which is likely diminish their level of alertness, or preparedness - or that of another participant. Each participant is responsible for deciding to continue to complete the distance ahead of them without endangering themselves or others.
6. Safety and medical
(i) Each participant is required to obey instructions from our staff and volunteers, and relevant event signage before, during and after their event. While on the course, it is the responsibility of the participant to decide how to move in a safe manner.
(ii) By registering for the event, each participant acknowledges there may be qualified medical staff (on call or on-site) entrusted and obligated to provide medical care and treatment, and consents to receive medical treatment which may be necessary in the event of injury or illness.
(iii) A participant must not arrive at the event unless they are well enough to do so, or if they are displaying any symptoms of any disease, infection or illness that could reasonably be assumed to endanger others associated with the event. We reserve the right to refuse entry to any person not deemed sufficiently well and healthy.
7. Clothing and equipment
(i) For their safety, each participant is required to carry any mandatory kit with them during an event. Participants who do not have mandatory kit with them may be prevented from taking part or continuing in the event.
(ii) We cannot accept liability for any damage, loss or theft to your clothing or equipment while at the event.
(iii) Clothing and equipment which remains at the end of an event will be treated as lost property and kept for seven days. Lost property will be sorted with any damaged, soiled or unusable items being appropriately disposed of. Any clean and reusable items may be returned to the participant if the participant contacts us within seven days, and arranges and covers the cost of postage. Unclaimed lost property will be donated to charity or recycled.
(iv) A participant may be issued with equipment, such as a GPS tracker, as part of an event. Should a GPS tracker be damaged or not returned to us at the end of the event, the participant agrees to cover the replacement cost which is currently £125 + VAT.
8. Liability and indemnity
(i) By registering for the event each participant understands and agrees: they participate in the event entirely at their own risk, they must rely on their own ability in managing potential problems, and must conduct themselves in a manner which is safe for themselves and all others.
(ii) Each participant accepts the event organiser and any person involved in the organisation of the event are not liable for any personal injury, illness, disability, death or property damage or theft they may suffer as a result of their participation in the event, whether prior to, during or subsequently after the event. Each participant enters the event entirely at their own risk.
(iii) By registering for the event each participant accepts they must make all reasonable precautions for the protection of their person and property while participating in the event, and acknowledges personal accident insurance and personal items insurance is their responsibility.
9. Data protection and digital content
(i) Information on how we use participants’ personal data is detailed in our Privacy Notice.
(i) We capture photo and video content at events to produce audio and visual recordings for use in media, publicity and advertising. By participating in the event each participant consents to their image being used within media at no cost.
10. Travel, accommodation, and expenses
(i) Each participant is responsible for their own travel, accommodation and expense requirements to attend an event.
(ii) If travelling by car, a participant is responsible for the chosen location and suitability of car parking and any fees which need to be paid. We accept no liability for any incurred fees, damage or loss as a result of car parking.
11. General
(i) Each participant agrees to conduct themselves in a sporting and professional manner and to accept the decision of officials and medical staff. The decision of the Event Director will be final in all circumstances, including any withdrawal or disqualification from an event, in which case each participant accepts there will be no refund of their entry fee.
(ii) We will provide each participant with a finish time (chipped or manual) upon completion of their event. We cannot be held reponsible for any errors or anomalies.
(iii) We reserve the right to amend, remove or add any terms and conditions at any time.
(iv) If any provision in our terms and conditions, whether in full or in part, is held to be invalid or unenforceable, all other remaining provisions (in full or in part) shall continue to be valid and enforceable. The terms and conditions shall be subject to English law.
